Senior Travel Coordinator – Healthcare Staffing We at Palm Health Resources, a Growing National Healthcare Recruitment Staffing Firm, are hiring a Travel Coordinator for our growing firm! The Travel Agent is responsible for coordinating travel and housing arrangements for healthcare professionals placed on temporary assignments nationwide. This role ensures a seamless travel experience for clinicians, including flight bookings, ground transportation, and lodging while maintaining cost efficiency and compliance with company policies. The Travel Agent works closely with recruiters, credential teams, and healthcare professionals to support successful assignment placements. Key Responsibilities Travel Coordination: Booking travel accommodations directly and with 3rd party; arrange and book domestic flights, rental cars, and other transportation for healthcare professionals traveling to assignments. Coordinate travel itineraries based on assignment start dates and client requirements. Manage last‑minute travel changes, cancellations, and emergency bookings. Housing & Accommodation: Secure temporary housing, extended‑stay hotels, or corporate apartments for clinicians; negotiate rates with hotels, housing vendors, and property managers; ensure housing meets company guidelines and traveler needs. Itinerary Management: Prepare and distribute travel itineraries and confirmations to clinicians and internal teams; track travel schedules to ensure clinicians arrive prior to assignment start dates; maintain organized travel records and documentation. Internal Collaboration: Work closely with recruiters, compliance, and onboarding teams to coordinate start dates and travel logistics; provide travel updates and communicate any potential issues or delays. Cost Management: Monitor travel expenses and maintain cost‑effective booking practices; ensure travel arrangements align with company budgets and policies. Expense Management: Entering expenses in expense software and ensuring all receipts have been uploaded; reconciling travel expense reports monthly. Traveler Support: Serve as the primary point of contact for clinicians regarding travel and lodging questions; provide assistance with travel disruptions, changes, or special accommodations. Qualifications Associate’s or Bachelor’s degree preferred. 1–3 years of experience in travel coordination, corporate travel, or healthcare staffing travel. Experience booking flights, hotels, and transportation through travel platforms. Strong organizational and multitasking skills. Excellent communication and customer service abilities. Ability to manage urgent travel changes in a fast‑paced environment. Attention to detail and problem‑solving skills. Preferred: Experience in healthcare staffing or travel nurse staffing. Familiarity with corporate travel systems (e.g., Concur, Egencia, Sabre). Vendor negotiation and housing coordination experience. Work Environment Fast‑paced staffing environment supporting healthcare professionals across the U.S. Will require handling urgent travel needs outside of normal business hours. Flexible and the Travel Agent can be Remote or Onsite either dynamic.
